Primary Care Management Solutions Ltd
NHS problem
Primary care faces sustained pressure from rising patient demand, workforce constraints and increasingly complex access needs. Patients can struggle to navigate GP services, understand how to access appropriate care, or communicate effectively with practices, particularly where language, digital literacy or health literacy barriers exist. At the same time, practice teams manage high volumes of routine enquiries, navigation requests and administrative contacts that consume valuable staff capacity. These challenges can contribute to inefficient demand, delays and inequalities in access. GP Chatbot addresses this gap by supporting accessible, multilingual patient communication and navigation through familiar digital channels, while helping practices manage routine demand more efficiently.
Founder story
GPChatbot was founded by the founder of Primary Care Management Solutions (PCMS), drawing on over 20 years’ experience as an NHS Practice Manager. Working directly in primary care, he witnessed the intense pressure on administrative teams, particularly during the 8am appointment rush, alongside the time spent responding to repetitive enquiries and navigating patients to appropriate services. This frontline NHS experience inspired GPChatbot: a practical, patient-centred solution designed around the realities of general practice. The innovation is also dedicated to Eileen McWilliams, an exceptional receptionist whose commitment to patients helped inspire its ethos of accessible, responsive and compassionate communication.
The solution
PCMS (Primary Care Management Solutions) is a specialist healthcare consultancy and technology provider supporting NHS primary care. PCMS created GPChatbot, an AI-powered patient access solution available through both a practice website and WhatsApp. GPChatbot helps GP practices manage patient enquiries by answering routine questions, providing clear information and directing patients to the most appropriate service or channel. The platform can signpost patients to resources such as the NHS App, Pharmacy First, eConsult and other NHS services, helping practices reduce avoidable demand on telephone lines and reception teams. GPChatbot enables practices to improve patient access while freeing staff to focus on patient care.
Impact
GP Chatbot is designed to improve how patients access and navigate primary care while reducing avoidable administrative demand on practice teams. Through a familiar WhatsApp-based interface, patients can access practice information and guidance in multiple languages, supporting more inclusive communication and helping address barriers associated with language, health literacy and navigating digital primary care services.
Expected impacts include reductions in routine telephone and administrative enquiries; improved signposting to appropriate services and pathways; increased patient understanding of how and when to access care; and staff time released for higher-value patient-facing and operational activities. The solution also has the potential to improve access for patients who may experience barriers when engaging with conventional practice communication channels.
For practices, GP Chatbot is expected to support more efficient demand management and consistent communication at scale, without requiring patients to learn a new digital platform. For patients, anticipated benefits include faster access to relevant information, greater convenience and improved navigation of primary care.
GP Chatbot is currently strengthening its evidence base to quantify these impacts, including utilisation, patient experience, accessibility, staff time efficiencies and potential economic benefits in real-world primary care settings.
